To ensure content quality, any number of approval workflows can be defined in Weblication® using the Workflow add-on module. Before publication, new and modified content must first pass through all approval stages before it can go online. If a file is in a workflow, it is locked for all users outside the workflow and is marked with a workflow symbol. An administrator can optionally be given authorization to intervene in the workflow process via the system settings.
Weblication® stores the definitions for the workflows in the global project under 'Tools - Workflow'. These workflow definitions can be assigned to a file via the 'Properties - Workflow' tab. Entire directory branches can be quickly and easily set for the workflow via the inheritance settings.
For files that are placed in the workflow, the system sends an e-mail notification to the respective person to be released. An e-mail notification is also sent when changes are rejected and optionally also when the file is released in the last instance.
For this purpose, it is necessary that e-mails can be sent via the system, for which the PHP mail function is used. In the Weblication® system settings, you can optionally specify whether an SMTP server should be used for sending.
A user with release authorization does not need any rights to the document itself. Whether they can release documents is defined exclusively in the workflow itself.
