Cloud - Use case 1: Manage project data together
Use the Weblication ® Cloud to manage all data for a project together in the cloud. Every project employee in your company has access to the same data. Sending via e-mail or filing via FTP is therefore no longer necessary.
Example
The company's project files are to be managed in the cloud. A project manager should be able to manage the documents in the cloud and therefore also edit, delete and upload them. A project caller should only have viewing rights to the project files so that they can also download them.
To be able to implement this, you need the following minimum requirements in the license:
- 1 administrator
- 1 cloud user
- 1 public user
Step 1: Creating users and groups
As administrator, create the following groups via group management:
- cloudprojects
- cloudproject administration
This should be a subgroup of "cloudprojects", for which you select the group "cloudprojects" in the "Included in" field.
As administrator, create the following users via the user administration with corresponding group membership:
- cloudprojectmanager
- User type:
cloud user - Group membership:
cloudproject administration - Start path when opening the cloud:
/cloud/projects
- User type:
- cloudproject caller
- User type:
Public user - Group membership:
cloudprojekte - Start path when opening the cloud:
/cloud/projects
- User type:
You can name the users, groups and the start path to suit your project.
Step 2: Create cloud directories
Now create the start path mentioned in step 1 as an administrator in the cloud. To do this, call up the cloud via the Weblication® panel ('Personal functions - My cloud').
Store the directories outside of user-dependent cloud directories (e.g. /cloud/admin). A general directory is recommended, which is why you should change to the top cloud directory /cloud.
Create the desired directory there. In the example:
- /cloud/projects
So that this directory can be selected in the web view, set the eye icon of the projects directory to green as administrator when calling /cloud.
As administrator, define the desired permissions for this directory at directory and file level. In the example:
- Directory settings
- General
Activate the option "Inherit settings to subdirectories". - Rights
Set your own rights:
"Cloud project administration" group with"Owner" role
"Cloud projects" group with"Guest" role - Upload
Set your own settings to suit your implementation.
- General
- Default file settings
- Properties - Rights
Set your own rights:
Group"cloudproject administration" with role"owner"
Group"cloudprojects" with role"guest"
- Properties - Rights
We recommend creating a directory template directly for this directory area (here: /cloud/projects), which is set so that it can be selected for the web view . This makes it easier for you to create the subdirectory structure, which can look like this, for example:
- /cloud/projects/quarter1
- /cloud/projects/quarter2
- etc.
If necessary, adjust the above settings to suit your requirements.
Step 3: Test / check
Now check with all users whether the desired options remain within the scope you have defined.
